Team Member Management

Overview

Team member management lets you view everyone on your team, invite new members, adjust permissions, and remove people who no longer need access. Only admins can manage team members.


Viewing All Team Members

Accessing Your Team List

  1. Go to Settings in the navigation

  2. Scroll to the Team section

  3. Click Team members

  4. View everyone with access to your church's Asaph account

What You'll See

  • Name and avatar color

  • Role (worship leader, pastor, team member, etc.)

  • Permission level (admin or member)

  • Email address

  • Activity status

  • Pending invitations (people invited but not yet joined)


Understanding Permissions

Admin Permissions

Admins have full access to:

  • Create and edit set lists

  • Generate AI set lists

  • Add and manage songs

  • View all feedback

  • Invite other team members

  • Manage team permissions

  • Access Song 360 Analysis

  • Church settings

Member Permissions

Members can:

  • View shared set lists

  • Provide feedback on sets and songs

  • Access reels/videos

  • Participate in Messages

  • View training content

  • Add songs to library

Members cannot:

  • Edit set lists created by others

  • Invite team members

  • Change permissions

  • Edit church settings

Why Two Levels?

This keeps your team organized. Most people need member access—they view sets, give feedback, and participate. Reserve admin access for co-leaders who actively plan services.


Inviting New Members

Two Ways to Invite

Option A: Email Invite (Individual)

  1. Go to Settings

  2. Scroll to Team section

  3. Click Team members

  4. Click Invite Team Member

  5. Enter their email address

  6. Select their permission (admin or member)

  7. Click Send Invitation

Use email invites when you need to set someone as admin or want to track who you've invited.

Option B: Invite Link (Multiple People)

  1. Go to Settings

  2. Scroll to Team section

  3. Click Copy invite link

  4. Share the link in group texts, Slack, or messaging apps

  5. Anyone who clicks joins automatically as a member

Use invite links when inviting multiple people at once through existing group chats.

What They Receive

Email invitations include:

  • A link to join Asaph

  • Your name and church

  • Their assigned permission level

  • Instructions to create an account

Invitation Acceptance

When they click the invitation link:

  1. They enter their email (pre-filled from invite)

  2. Receive a one-time code via email

  3. Enter the code to log in

  4. Complete their profile setup

  5. Join your team automatically


Changing Member Permissions

Promoting to Admin

  1. Go to Settings > Team

  2. Find the team member

  3. Click Edit or their name

  4. Toggle admin permissions on

  5. Save changes

They immediately gain admin access to all features and settings.

Demoting to Member

  1. Go to Settings > Team

  2. Find the admin

  3. Click Edit or their name

  4. Toggle admin permissions off

  5. Save changes

They retain access to Asaph but can't change team settings or manage the team.

When to Adjust Permissions

Change permissions when someone's responsibilities change. If a team member becomes a co-leader, promote them to admin. If an admin steps back, demote them to member.


Removing Team Members

How to Remove Someone

  1. Go to Settings

  2. Scroll to Team section

  3. Click Team members

  4. Find the person you want to remove

  5. Click Remove or Delete

  6. Confirm the action

What Happens

They lose access to your church's Asaph account immediately. They can't view your set lists, messages, or feedback anymore. They keep their own Asaph account and can join other churches.

Can They Be Re-invited?

Yes. You can re-invite removed members anytime. They'll rejoin with fresh permissions based on your new invitation.


Managing Pending Invitations

Viewing Pending Invites

Your team list shows people you've invited who haven't joined yet. They appear in a "Pending Invitations" section.

Resending Invitations

If someone didn't receive the email:

  1. Find their pending invitation

  2. Click Resend Invitation

  3. A new email gets sent

Canceling Invitations

Cancel pending invitations if you invited someone by mistake or if they no longer need access.


Best Practices

Start Small

Invite 2-3 key people first. Get comfortable with the workflow before adding your entire team.

Choose the Right Invite Method

  • Email invites - When you need to set someone as admin or want to track invitations

  • Invite link - When inviting multiple people through group chats

Use Appropriate Permissions

  • Give admin access only to those who actively plan services

  • Use member for most of your team

  • You can always adjust permissions later

Set Expectations

Tell your team:

  • Why you're using Asaph

  • What you expect from them (feedback, availability, etc.)

  • How often to check Asaph

  • What they can and can't do based on their permissions

Keep Your Team List Current

Review your team list periodically. Remove people who've left your team and add new members as they join.


Common Questions

How many team members can I invite?

Unlimited, so you can invite as many team members as you like.

Can team members invite others?

Only users with admin permissions can invite new team members.

What if someone already has an Asaph account?

They can join your team using their existing account. They don't need to create a new one.

Can someone be on multiple teams?

No. When a user on an existing team is invited to a new team, they will be asked to leave the old team. Their activity history will remain anonymized on the old team.

Does the invite link expire?

No. Invite links work indefinitely until you regenerate or disable them.

Can I create multiple invite links?

Currently one invite link per team.

Can people who join via invite link become admins later?

Yes. You can change anyone's permissions after they join, regardless of how they joined.
