Who to Invite
Worship Leaders and Co-Leaders
Collaborate on planning, share set list creation, and divide responsibilities.
Team Members
Singers, musicians, and technical crew who provide feedback on songs and rehearsals.
Pastors and Church Leaders
Give them visibility into worship planning and enable collaboration on sermon-to-song alignment.
Anyone Involved in Worship Planning
Include anyone who contributes to your worship ministry, even if they don't perform.
How to Invite Team Members
Option A: Invite by Email (Individual)
Step 1: Access Team Settings
Go to Settings in the navigation
Select Team or click Invite Team Member
Or from your home page:
Look for the Getting Started section
Click Add Team or similar prompt
Step 2: Enter Email Address Type the email address of the person you want to invite.
Step 3: Select Their Permission Choose their permission level:
Admin - Full access to planning and team management
Member - Can view, provide feedback, and participate
Step 4: Send Invitation Click Send Invitation. They'll receive an email with a link to create their account.
Step 5: Wait for Acceptance They need to click the link in the email and complete their profile setup. Once they do, they'll appear in your team list.
Option B: Copy Invite Link (Multiple People)
Step 1: Access Invite Link
Go to Settings in the navigation
Select Team
Click Copy Invite Link
Step 2: Share the Link Share the invite link anywhere:
Group text messages
Slack or Teams channels
Facebook Messenger
Email chains
Anywhere your team communicates
Step 3: People Join as Members Anyone who clicks the invite link:
Creates their account
Joins your team automatically as a Member (not admin)
Completes their profile setup

Invitation Process
What They Receive
Your team member gets an email invitation with:
A link to join Asaph
Your name and church
Their assigned role
Instructions to create an account
Account Creation
When they click the link:
They enter their email (pre-filled if from invite)
Receive their own one-time code via email
Enter the code to log in
Complete their profile setup
Join your team automatically
Time to Accept
Invitation links don't expire, but it's best to follow up if someone doesn't join within a few days.
Managing Team Members
Viewing Your Team
Go to Settings > Team to see:
Current team members
Pending invitations
Each person's role and status
Resending Invitations
If someone didn't receive the email:
Find their pending invitation
Click Resend Invitation
New email gets sent
Changing Permissions
Go to Settings > Team
Find the team member
Click Edit or their name
Toggle admin permissions on or off
Save changes
Removing Team Members
Go to Settings > Team
Find the person you want to remove
Click Remove or Delete
Confirm the action
They lose access to your church on Asaph but keep their own Asaph account.
Best Practices
Start Small
Invite 2-3 key people first. Get comfortable with the workflow before adding your entire team.
Choose the Right Invite Method
Email invites - When you need to set someone as admin or want to track who you've invited
Invite link - When inviting multiple people at once through group chats
Set Expectations
Tell your team:
Why you're using Asaph
What you expect from them (feedback, availability, etc.)
How often to check Asaph
What they can and can't do based on their permissions
Use Appropriate Permissions
Give Admin access only to those who actively plan services
Use Member for most of your team
You can always adjust permissions later
Share Invite Links Securely
Only share your invite link with people you want on your team. Anyone with the link can join as a member.

Once team members join, use the built-in Messenger to:
Share songs and set lists

Initially, you might need to:
Send a group text or email announcing Asaph
Follow up with non-responders
Answer questions about login or features
Once everyone's on board, move conversations into Asaph.
Common Questions
How many team members can I invite?
As many as you like! There are no limits on team members.
Do team members need to pay?
No, Asaph is billed at a team level.
Can I invite people outside my church?
You can invite anyone, but typically you'll invite people who serve in your worship ministry.
What if someone already has an Asaph account?
They can join your team using their existing account. They don't need to create a new one.
Can someone be on multiple teams?
Not currently. If someone is invited to a new team, they will be informed they are leaving their current team.
Does the invite link expire?
No. The invite link works indefinitely until you regenerate it or disable it.
Can I create multiple invite links?
Currently one invite link per Asaph account.
Can people who join via invite link become admins later?
Yes. You can change anyone's permissions after they join, regardless of how they joined.
Can team members invite others?
Only users with Admin permissions can invite new team members.
Troubleshooting
Invitation Email Not Received
Ask them to check spam/junk folders
Resend the invitation
Try a different email address
Confirm their email was entered correctly
Can't Change Someone's Permissions
Only administrators can change permissions. Make sure you have admin access.
Person Not Showing in Team List
Check if they accepted the invitation
Look in "Pending Invitations" section
Confirm they completed their profile setup
