Managing Services

Set up multiple services for your church and choose which service you regularly attend.

Overview

If your church has multiple services (like Sunday morning, Sunday evening, or midweek gatherings), you can add them to Asaph. This helps organize set lists and feedback by service. Service-level feedback gives Asaph's AI better context for generating set lists that fit each service's unique character. You can also choose your regular service so Asaph encourages you to provide feedback as a congregation member when you're not on the team.


Accessing Service Settings

From Profile Menu

  1. Click your avatar or name in the top navigation

  2. Under the Church section, you'll see:

    • Church Profile - Edit church details

    • Manage Services - Add or edit services

    • Your Service - Choose your regular service


Managing Services (Admin Only)

Adding a New Service

  1. Click your avatar or name

  2. Select Manage Services under Church

  3. Click Add Service

  4. Enter service details:

    • Service name (e.g., "Sunday Morning," "Sunday Evening," "Midweek")

    • Service day

    • Service time

  5. Click Save

Editing Existing Services

  1. Go to Manage Services

  2. Find the service you want to edit

  3. Click Edit

  4. Update service details

  5. Click Save

Deleting Services

  1. Go to Manage Services

  2. Find the service you want to remove

  3. Click Delete

  4. Confirm the action

Note: Only administrators can add, edit, or delete services.


Choosing Your Service

Setting Your Regular Service

  1. Click your avatar or name

  2. Select Your Service under Church

  3. Choose which service you regularly attend

  4. Click Save

Why This Matters

When you select your regular service, Asaph knows which services you typically attend as a congregation member (not on the team). If you attend a service where you're not scheduled on the team, Asaph will prompt you to provide feedback from a congregation perspective. This gives worship leaders valuable insights beyond just the team's view.


Service-Specific Features

Set Lists by Service

When creating set lists, you can assign them to specific services. This helps:

  • Organize planning by service

  • Track which songs are used in which services

  • Gather service-specific feedback

Feedback by Service

Feedback can be collected and viewed by service. This shows:

  • How songs perform in different services

  • Whether morning and evening congregations respond differently

  • Service-specific song health trends


Multiple Services Best Practices

Typical Service Setup

Common service configurations:

  • Sunday Morning only

  • Sunday Morning + Sunday Evening

  • Sunday + Wednesday Night

  • Multiple Sunday morning services (9am, 11am)

  • Multi-site campus services

Naming Services Clearly

Use clear, consistent names:

  • ✅ "Sunday Morning 9am"

  • ✅ "Sunday Evening"

  • ✅ "Wednesday Night"

  • ❌ "Service 1"

  • ❌ "Main"

Team Member Service Selection

Encourage all team members to set their regular service in Your Service. This improves feedback quality by distinguishing when they're serving versus attending as congregation members.


Common Questions

Do I need to add services?

Yes. Every set list needs a service assigned. Create at least one regular service to track feedback and build insights over time. Special occasions like Easter or Christmas can use the "one-off" option, but regular services give you better data for song health and trends.

Can I add services later?

Yes. Add services anytime from Manage Services.

Who can add services?

Only users with admin permissions can add, edit, or delete services.

Can team members see all services?

Yes. All team members can see which services exist, but only admins can manage them.

What happens if I delete a service?

Set lists assigned to that service remain, but the service assignment is removed. Proceed with caution.

Can I change my regular service?

Yes. Update Your Service anytime. This only affects which service Asaph prompts you to provide feedback for.

Do I have to choose a regular service?

No. It's optional. If you don't select one, Asaph won't know when to prompt you for congregation-perspective feedback.
